Job Description

HOURS: Full Time (1.0 FTE; 40hrs/wk) 8 - 4:30 Monday - Friday, No weekends or holidays.

POSITION SUMMARY:  Responsible for the overall coordination of department/unit business functions, including personnel management and business operations, working closely with the Medical Director, Department Chair, Administrative Director, Service Line, and system representatives. 

ESSENTIAL FUNCTIONS: Qualified individuals must have the ability (with or without reasonable accommodation) to perform the following duties:

Business Operations

Maintains a comprehensive understanding of clinical and administrative operations including: clinical and diagnostic criteria, symptom profiles, access management, Utilization Review, scheduling, registration; financial counseling, authorization/referral and billing/coding functions, denial management. Ensures smooth daily operations of the business unit within the Service Line focusing mainly on acute services, but assisting all areas of the service line. Appropriately troubleshoots problems and proactively identifies issues and develops recommendations for resolving issues. Ensures adequate staffing of functions within scope of team. In conjunction with the physician leaders and Administrative Director, Service Line, develops departmental goals and objectives. Establishes and implements policies and procedures for improvement in access and business operations that align with LG Health and external stakeholder practice standards. Involves appropriate parties in unit analysis and decision-making. Proactively identifies potential effects or impact of decisions and develops contingency plans as needed. Independently identifies needs for structural and other significant changes within business operations and aligned initiatives. Compiles data to support needs and develops recommendations for review with physicians and Administrative Director,  Service Line. Upon approval, prepares implementation plans and coordinates/facilitates all implementation activities. Monitors changes and makes adjustments as necessary. Evaluates and reports impact of changes. Coordinates and actively participates in marketing of the service line. Supports new physician development including clinical and administrative documentation standards and administrative requirements and orientation.

Supervisory Responsibilities

Interviews, selects and orients direct reports including but not limited to functions of access, utilization review, discharge planning, billing, coding, compliance, financial counseling insurance and regulatory relationships.  Works collaboratively with similar functions not reporting to the position outside the service line to accomplish aligned outcomes. Develops and ensures compliance with competencies and standards of performance. With guidance from physician leaders or Administrative Director, Service Line, develops standards of performance, monitors performance and addresses performance issues, according to LG Health, regulatory and payer policies and procedures. Encourages and supports staff development. Clearly communicates with all staff. Seeks input and feedback from staff on service line needs and operational changes as appropriate. Serves a role model for every time behaviors and sets appropriate expectations for staff.

Financial Management

With assistance from Administrative Director, develops annual operating budget for service line relative to denial management and cash flow. Understands and implements revenue cycle process and workflows at the unit level. Analyzes monthly income and expense reports. Identifies major trends and explains variability. Prepares budget variance reports and develops action plans, as appropriate. Manages unit expenses and reviews monthly accounting reports for accuracy. Identifies potential savings for the service line. Reviews service line operations, activity and financial reports with physicians.

Clinical Quality and Outcomes

Assures compliance with regulatory agencies. Participates in quality improvement initiatives to improve clinical outcomes. Monitors patient satisfaction and develops action plans as appropriate.

MINIMUM REQUIRED QUALIFICATIONS:

  • Bachelor’s degree, or completion of Bachelor’s degree within two (2) years of hire, in Business, Healthcare Administration or a related field is required. 
  • Five (5+) years for medical practice/healthcare exp
  • Five (5+) years for billing, financial reporting, data entry, scheduling, referrals/auths, or check in/out
  • Three (3+) years for prior management experience. 
  • Master’s degree in Business Administration, Healthcare Administration or related field is preferred but not required.
