HOURS: Full Time- Day Shift- Monday through Friday 8:00am- 4:30pm


Serves as a point of contact for all residential and commercial lease matters, prepares lease documents with related amendments, performs billing and collections, maintains computer/paper lease files.  Supports the Real Estate Manager with all aspects of Tenant leasing and compliance.

ESSENTIAL FUNCTIONS: Qualified individuals must have the ability (with or without reasonable accommodation) to perform the following duties:

  • Prepares new and renewal commercial lease documents including researching, calculating and inserting all appropriate dates, amounts, clauses and other terms.
  • Review all leases on a periodic basis to ensure that renewals are kept up-to-date and verify that the terms of the lease are being enforced.  Consistently monitor lease terms to ensure that the tenant billing is in compliance (rent amount and other charges) and immediately report discrepancies to Manager of Real Estate and Leasing.  Monitor critical dates related to lease renewals and ensures that pertinent actions are taken in accordance with deadlines. Coordinate timely renewals of leases in accordance with policy.
  • Maintain electronic (Lawson contract management software) and paper lease files and related documents including all correspondence.
  • Develops & implements a system to track documents through the lease negotiation & approval process.  Maintains tracking/tickler system to ensure all due dates are met with 100% compliance.
  • Maintain property management database by inputting new and/or changed information on a daily basis to ensure that all information is accurate and current.  Works closely with Real Estate accountant to ensure that property management database is maintained in a format that ensures accurate billing, reporting and record keeping.
  • Identify and report all late or incorrect rent payments or other revenue discrepancies to the appropriate internal or external personnel.  Contact tenants or vendor to resolve discrepancies when appropriate.  Perform collections for past due accounts.  Reviews accounts receivable aging listings weekly.  Uses legal court proceedings as appropriate to collect past due amounts.
  • Perform monthly billing for residential and commercial properties including monthly recurring charges, late fees, rent increases, facility charges, CAM, real estate taxes and other charges.  Ensures that the calculation of CPI, Common Area Maintenance (CAM), the reconciliation of CAM and Taxes are completed as stated in the lease.
  • Generates expiration schedules, vacancy reports, and other property management reports, as requested.
  • Assists the management team with real estate projects as assigned
  • Provides reception and other front office tasks as needed when there are vacancies or absences.
  • Other duties as assigned.


  • High school diploma or equivalent
  • Minimum two years Real Estate background, commercial preferred. 
  • Computer literacy and proficiency with word processing & spreadsheet design
  • Good oral & written communication skills.  Excellent organizational skills.


  • Experience using YARDI Property Management Software.
  • Prior experience working with residential or commercial leases.
